Understand How Validation Works for German E-Invoice Files
Validation is more than opening a file. A structured invoice is usually checked in layers: whether the XML is well formed and follows the schema, whether the EN 16931 business rules are met, and whether the German XRechnung rules apply. Each layer finds different errors, so software should report which layer failed and why.
Validation matters for both sides of an invoice. Since 1 January 2025, every business in Germany must be able to receive e-invoices, and issuing duties start on 1 January 2027 above prior-year turnover and on 1 January 2028 for others. A passed check does not confirm tax treatment, so confirm details with the BMF or your tax advisor.
Validation Software Features for German E-Invoices
Schema Checks
Confirm each XML file is well formed and follows the UBL or CII structure before any business rule is tested.
Rule Engine
Apply EN 16931 and XRechnung rules to find missing terms, wrong combinations and conflicting values.
Calculation Checks
Recalculate line totals, tax amounts and payable sums to catch rounding and total errors in each file.
Code List Checks
Check currencies, units, tax categories and payment codes against allowed values to avoid rejected files.
Inbound Validation
Test supplier e-invoices on arrival and flag failed files before approval, posting or payment starts.
Validation Reports
Create a readable result per file that lists each failed rule, its location and a suggested fix.
Validation Errors Teams Should Catch Early
- Missing buyer reference on public sector invoices.
- Line totals that differ from the net total.
- VAT category code not matching the tax rate.
- No exemption reason where VAT is not charged.
- Invalid date or currency format in the XML.
- ZUGFeRD file using a profile without full data.
- Supplier file that cannot be read or opened.
Place Validation Inside Your Invoice Workflow
Validation works best at two points: before an invoice is sent and when a supplier file arrives. Running checks at these gates stops faulty files from moving on to customers, approvals or payment runs, and gives billing, finance and IT teams the same error information.
Advintek supports e-invoicing workflows for Germany. Before deployment, confirm validation scope, supported XRechnung and ZUGFeRD versions, ERP connectors and implementation scope, and review current guidance from the BMF and KoSIT.
Validation Governance Controls
Rule Set Versions
Record which rule set and format version checked each file, so results can be explained during a later review.
Failure Queue
Hold files that fail checks in a queue with the reason shown, so nothing faulty is sent or posted.
Result Retention
Limit who can release a file with warnings and log the person, time and reason for each decision.
Audit Trail
Keep validation reports next to the original file for the retention period, ready for your advisor or the Finanzamt.

Frequently Asked Questions
1. What is e-invoice validation software and what does it check?
It tests structured invoice files before they are sent or posted. Typical checks cover XML structure, EN 16931 business rules, XRechnung requirements, calculations and code values. The result shows which rule failed and where, so your team can correct the data instead of guessing.
2. How is schema validation different from business rule validation?
Schema validation checks that the XML is well formed and follows the expected structure. Business rule validation checks the meaning of the data, such as required terms, allowed combinations and correct totals. A file can pass the first and still fail the second, so both are needed.
3. Does a passed validation mean my invoice is legally correct?
No. Validation shows that a file follows the technical rules. It cannot judge whether a supply is exempt, whether the right tax rate was used or whether reverse charge applies. The issuer remains responsible under the UStG, so review difficult tax cases with your tax advisor.
4. Should I validate e-invoices that I receive from suppliers?
German law does not name a specific validation procedure, but checking received files is good practice. Since 1 January 2025, businesses must be able to receive e-invoices. Early checks help you spot unreadable or incomplete files before approval, and the original file must still be kept unaltered.
5. Which German rule sets should validation software use?
It should apply the EN 16931 rules and the German XRechnung rules published by KoSIT, plus checks for the format you use, such as ZUGFeRD. Ask your provider which versions it supports and how quickly new releases are added. Check current versions on xoev.de.
6. What is the difference between a warning and an error?
An error means a rule is broken and the file should not be sent. A warning points to something unusual that may still be acceptable. Decide in advance who reviews warnings and when a file may be released, and keep a record of each decision for later review.
7. Can validation software detect unsuitable ZUGFeRD profiles?
It should. ZUGFeRD files with the MINIMUM or BASIC-WL profile do not carry the full EN 16931 data and do not qualify as e-invoices in Germany. Good software reads the profile, flags such files and tells the user which profile is needed. Confirm current guidance with the BMF.
8. Can I correct an invoice file after validation fails?
Before the invoice is issued, correct the source data in your ERP and create the file again. Do not edit the XML by hand after issuing. If an invoice has already been sent, a corrected invoice or credit note is usually needed. Confirm the right approach with your tax advisor.
9. How should validation reports be stored?
Keep each report together with its invoice file so you can show which checks were applied. Invoices must be kept for eight years under the Fiscal Code (AO) and Section 14b UStG. Ask your tax advisor whether your GoBD process documentation should also describe how reports are stored.
10. Can Advintek provide e-invoice validation software for Germany?
Advintek offers e-invoicing solutions for the German market. Before implementation, verify validation scope, supported formats and versions, ERP integrations and timelines. Confirm your legal obligations with the Federal Ministry of Finance (BMF) or your tax advisor, as the rules are being introduced in stages.
