Xero e-Invoicing in the Germany: Frequently Asked Questions

1. What is Advintek's e-Invoice Connector for Xero?

It is a streamlined integration built for German SMEs using Xero. It aligns your e-invoicing process with the German mandate by automating every stage: converting Xero invoices to compliant XML, submitting without extra steps, tracking statuses in real time, supporting compliant cancellations and archiving every invoice.

A standard Xero invoice, sent as a PDF, is not a structured e-invoice under German rules, which require EN 16931-compliant machine-readable data. Advintek’s connector works inside your Xero workflow and creates the compliant structured file, so you do not need to switch accounting software.

Yes, for domestic B2B transactions. All German businesses must be able to receive structured e-invoices since 1 January 2025. Issuing is mandatory from 1 January 2027 for businesses with prior-year turnover above €800,000 and from 1 January 2028 for everyone else.

It is 1 January 2027 if your previous year’s turnover exceeded €800,000, and 1 January 2028 if not. Until 31 December 2026, a PDF invoice remains acceptable with the recipient’s agreement. Smaller businesses can use other formats until 31 December 2027. Testing in 2026 avoids a rushed rollout.

Advintek describes its Xero integration as fully operational, tested and working for German compliance needs. You can start with a demo and test invoices now. Ask the team for a walkthrough of a live Xero invoice and for references from other Xero users in Germany.

Yes. Receiving structured e-invoices has been mandatory for every German business since 1 January 2025. You need a process to accept XRechnung and ZUGFeRD files from suppliers, check them and enter them in Xero. Include the receiving side in your readiness plan.

The connector converts Xero invoices into the XML format required by Germany. For B2B, the accepted formats are EN 16931-compliant: XRechnung, and ZUGFeRD from version 2.0.1 (excluding the MINIMUM and BASIC-WL profiles). Advintek confirms the right format for each customer group.

XRechnung is a pure XML file for automated processing and public-sector buyers. ZUGFeRD pairs a readable PDF with embedded XML, so humans and systems can both use it. For Xero users, the right choice depends on what your customers can process, and the same Xero invoice can be turned into either.

No. Issue, cancel and track every e-invoice without logging in to the portal manually. The connector submits invoices without extra steps, so your team stays in the Xero workflow and gets status updates automatically.

No. The solution integrates directly into your existing Xero workflow. You continue to create invoices in Xero. Advintek handles conversion, validation, submission and archiving in the background, so staff do not need retraining.

A Xero invoice is picked up by the connector, converted into compliant XML, validated and submitted. The status returns in real time, and the invoice is archived by Advintek’s Invoice Factory. Changes in the connector or in Invoice Factory sync instantly, keeping records consistent and audit-safe.

Yes. The connector tracks invoice statuses in real time, including validation outcomes, approvals and rejections. A single view shows which invoices are done, pending or need correction, which saves time compared with checking each customer or portal.

Check the reason shown in the connector, correct the data in Xero (for example missing buyer reference, tax ID or inconsistent totals), and resubmit. Fixing the cause in Xero prevents the same rejection later. Advintek support is available 24/7 if you need help interpreting an error.

Yes. Advintek enables compliant cancellations within 72 hours, according to its service description. After that, the usual German approach is a credit note and a corrected invoice. Agree on this process during onboarding so your finance team knows which option to use.

Yes. It handles recurring billing and bulk invoice submissions, which suits businesses with monthly billing runs or subscription models. Each invoice goes through the same conversion, validation, submission and archiving flow, so quality does not fall when volumes rise.

It suits SMEs in consulting, retail, construction, IT and other sectors that use Xero. If you issue domestic B2B invoices in Germany, the connector makes you ready without disrupting your existing setup.

Advintek’s Invoice Factory archives every invoice and related data for 10 years, in line with the audit requirements stated on the Xero page. That duration covers the generally applicable 8-year retention for invoices and the 10-year period for books and annual statements.

Since 2025, invoices and similar accounting vouchers generally have to be kept for eight years, down from ten. Books and annual financial statements remain at ten years, and longer retention can apply to special cases. Confirm your exact obligations with your tax advisor.

GoBD requires complete, traceable and unchangeable storage. For e-invoices the structured XML is the original and must be kept in its original form. Advintek’s archive is designed for audit readiness. Document how invoices flow from Xero to the archive in your process documentation (Verfahrensdokumentation).

Advintek publishes guidance on accounting and ERP integrations, including DATEV. Your tax advisor needs invoice data for bookkeeping and VAT returns. Tell Advintek which software your advisor uses so the right export or access method can be set up.

Yes, using XRechnung, and public recipients also require a Leitweg-ID for routing. Provide it to Advintek during setup so it is mapped correctly. For ordinary B2B customers a Leitweg-ID is normally not needed.

Advintek Germany supports XRechnung and Peppol-oriented workflows. Germany does not force a single channel for B2B e-invoices, so email, portals and Peppol can all be valid when the file is a compliant EN 16931 structured invoice. Confirm the best channel for your customers in the demo.

Invoices up to €250 and certain tickets are exempt, and Kleinunternehmer do not have to issue e-invoices (but must be able to receive them). Many Xero users still apply one process to all invoices because it is simpler and avoids errors.

Until 31 December 2026, PDFs and paper invoices remain allowed for domestic B2B with the recipient’s consent. From 1 January 2027, businesses above €800,000 turnover must issue structured e-invoices, and from 2028 all businesses must. A plain PDF will not satisfy the rule after that.

The German mandate covers domestic B2B transactions. For cross-border sales, other countries’ rules apply and they vary. Advintek operates e-invoicing in many countries, so Xero users with international customers can keep a single connector and add the relevant formats.

Advintek lists secure and compliant operations, 99.9% uptime, weekly updates and 24/7 support. Invoices and metadata sit in a controlled archive. Read the privacy policy and request data processing terms if needed for your records.

Advintek advertises affordable, transparent pricing for SMEs, starting from an entry-level plan. The final price depends on your invoice volume and set-up. Request a free quotation to get current euro pricing and a list of included services.

Yes. Advintek offers a free demo, a free consultation and a free quotation. In the demo you can see a Xero invoice converted, submitted, tracked and archived. Use the consultation to test your customer types and invoice scenarios.

The connector integrates with your Xero setup, so onboarding focuses on configuration and test invoices. The timeline depends on your invoice types and customers. Ask for a schedule early, especially if you must issue e-invoices from 1 January 2027.

Customers may reject non-compliant files, payments can be delayed, and recipients may face input VAT issues. Authorities have specific rules on how such invoices are treated. Ask your tax advisor about your exposure and test your Xero workflow before the deadline.

Manual exports depend on staff getting formats, mandatory fields and submission steps right every time. Advintek automates conversion, validation, submission, status tracking and archiving, so your team handles exceptions only. That reduces errors and gives you a complete audit trail.

Advintek offers connectors for all five with similar capabilities, so compliance does not have to drive your platform choice. Select the system by features, reporting, price and integrations. Advintek also publishes guides such as Xero vs QuickBooks Germany.

Advintek provides 24/7 support and weekly updates, covering rejected invoices, status queries, format changes and new requirements. As formats such as XRechnung and ZUGFeRD evolve, the connector is maintained, so you do not need to track technical updates.

Yes. Advintek supports many accounting, ERP, e-commerce and POS systems and extends integrations beyond standard connectors. If Xero is one of several tools you use, describe the setup so one compliant process can cover everything.

Sign up or request a demo from the Advintek Germany site, share your invoice types and customer groups, and agree on formats. Then connect Xero, run test invoices and go live. Businesses with turnover above €800,000 should aim to be live before 1 January 2027.
