FreshBooks e-Invoicing in the Germany: Frequently Asked Questions

1. What is Advintek's e-Invoice Connector for FreshBooks?

Advintek’s e-Invoice Connector turns FreshBooks into a Germany-ready e-invoicing system. It converts FreshBooks invoice data into compliant structured formats, submits the invoices, returns live status updates and handles corrections, cancellations and archiving, so you keep invoicing in FreshBooks while Advintek does the compliance work in the background.

A standard FreshBooks invoice, sent as a PDF, is not a structured e-invoice under German rules. A structured file with machine-readable XML data is required. Advintek’s connector adds that layer: it takes the invoice you create in FreshBooks and produces the compliant structured format, without changing how you work.

Yes, for domestic B2B transactions. Since 1 January 2025, all businesses in Germany must be able to receive structured e-invoices. The obligation to issue them phases in from 1 January 2027 for larger businesses and from 1 January 2028 for everyone else. FreshBooks users fall under the same rules as any other business.

It depends on your prior-year turnover. If it exceeded €800,000, you must issue e-invoices for domestic B2B sales from 1 January 2027. If it was €800,000 or less, you have until 1 January 2028, with other invoice formats still allowed during 2027. Starting early avoids a rush and lets you test your process.

The threshold only delays your issuing deadline to 1 January 2028. It does not remove the duty to receive e-invoices, which has applied since 1 January 2025. Many freelancers and agencies also start earlier because larger clients increasingly demand XRechnung or ZUGFeRD files. Small businesses under the Kleinunternehmer rule are exempt from issuing, but must still be able to receive.

Yes. Every business established in Germany has had to be able to receive structured e-invoices since 1 January 2025, regardless of the accounting software used. Plan a dedicated inbox or channel for incoming XRechnung and ZUGFeRD files and make sure your tax advisor can read them. Advintek can advise on a receiving setup during your consultation.

The connector converts FreshBooks invoices into formats accepted for e-invoicing, including XML, UBL, JSON and structured digital invoices, plus formats that need digital signatures where required. For Germany, the relevant EN 16931 formats are XRechnung and ZUGFeRD. Ask Advintek to confirm the exact format for each of your customer types.

XRechnung is a purely structured XML invoice, originally required for German public authorities and now accepted for B2B. ZUGFeRD is a hybrid: a human-readable PDF with embedded XML data. Both meet the German B2B rules when they follow EN 16931, and ZUGFeRD must be version 2.0.1 or later, excluding the MINIMUM and BASIC-WL profiles.

Advintek Germany positions its service around XRechnung and Peppol. The connector submits through authorised gateways and regional or cross-border networks. Which channel suits you depends on how your customers receive invoices (email, portal or Peppol). Confirm the routing for your key clients during the free demo.

Only for a limited time and in limited cases. Until 31 December 2026, a PDF or paper invoice remains permitted for domestic B2B when the recipient agrees. After that, a plain PDF no longer counts as a proper invoice for businesses that must issue e-invoices. Businesses at or below €800,000 turnover have until the end of 2027.

No. You continue to create invoices in FreshBooks as you do today. Advintek handles formatting, validation and submission in the background. Your team keeps the familiar workflow, which is why most FreshBooks users can adopt the connector without retraining or switching accounting software.

You issue an invoice in FreshBooks. The connector reads the invoice data, converts it into a compliant structured format and validates it. It then submits the invoice, retrieves the system response and syncs the result back. Finally, the invoice and its metadata are stored in Advintek’s Invoice Factory for audit-ready archiving.

Yes. The connector syncs approval, rejection and validation statuses in real time, so you can see the outcome of each invoice without logging in to other portals. Live status tracking helps you spot problems early, correct them and resend before the customer’s payment deadline is affected.

The connector returns the validation result and the reason for the failure, so you can fix the data (for example a missing buyer reference or tax ID) and resubmit. Catching errors before an invoice reaches the customer matters because a non-compliant file may not count as a valid invoice for input VAT purposes.

Yes. The connector supports compliant corrections, cancellations and resubmissions, with cancellation available within 72 hours according to Advintek’s service description. For invoices outside that window, the usual German approach is a credit note followed by a corrected invoice. Confirm the exact process for your case during onboarding.

Yes. Corrections and cancellations are part of the automated workflow, and credit notes can be handled as structured documents in the same way as invoices. This keeps the full chain (original invoice, credit note, corrected invoice) traceable, which is important for audits and for your customer’s bookkeeping.

Yes. Advintek’s connector is built to automate e-invoicing across regions and supports multi-country audit requirements. Note that Germany’s B2B mandate covers domestic transactions between German-established businesses. Cross-border invoices to EU, UK or US clients follow other rules today, but using the same connector keeps your process consistent as requirements change.

Public-sector customers in Germany have required XRechnung for years. The connector can produce structured invoices in XRechnung form for these customers. You need the authority’s routing details, called the Leitweg-ID, to address the invoice correctly. Share your public-sector use case in the demo so the setup can be tested.

A Leitweg-ID is the routing identifier of a German public-sector recipient. You need it when invoicing federal, state or local authorities using XRechnung, because it tells the platform where to deliver the invoice. For ordinary B2B customers you usually do not need one, but a buyer reference or similar field may be requested.

Advintek’s Invoice Factory stores every invoice and its metadata in a secure archive, according to the retention rules for the country. For Germany, the page promises 10-year storage, which covers the 8-year invoice retention period and the 10-year period for books and financial statements. Archived records remain available for audits.

Since 2025, invoices and other accounting vouchers generally have to be kept for eight years, down from ten. Commercial books and annual financial statements still have a ten-year period, and some records can require longer retention for tax reasons. Because rules can change and edge cases exist, confirm your obligations with your tax advisor.

German rules (GoBD) require records to be complete, traceable and unchangeable during retention, and the structured XML is treated as the original e-invoice. Advintek’s Invoice Factory is designed to keep invoices and metadata audit-ready. Your own process documentation (Verfahrensdokumentation) should still describe how invoices flow from FreshBooks to the archive.

Yes, accountants typically need access to invoice data and the archive for bookkeeping and audits. Advintek publishes guidance on integrations with accounting and ERP tools, including DATEV. Tell the team which system your Steuerberater uses so the export or access method can be agreed in the onboarding call.

Advintek describes its service as secure and compliant, with 24/7 support, weekly updates and 99.9% uptime. Invoices and metadata are stored in a controlled archive. For details on how personal data of your clients is processed, read the Advintek privacy policy and ask for the data processing terms before you sign up.

Advintek advertises simple, transparent pricing designed for SMEs, starting at an entry-level plan. The final price depends on your invoice volume and set-up needs. Request a free quotation from Advintek Germany for the current euro price and what it includes, such as archiving and support.

Yes. Advintek offers a free demo, a free consultation and a free quotation. Use the demo to see a FreshBooks invoice move from creation to compliant submission and archiving, and use the consultation to check your formats, receiving process and customer types.

Because the connector works with your existing FreshBooks account, there is no new system to install or learn. The timeline depends on how many invoice types, clients and formats you need to configure. Advintek confirms the plan during onboarding, so ask for a go-live date well before 1 January 2027 if you must issue e-invoices from that day.

Advintek lists 24/7 support, weekly product updates and a 99.9% uptime commitment. Support covers onboarding questions, validation errors and status problems. You can reach the team through the contact form, by phone or by email on the Advintek Germany site.

Consequences depend on your situation and may include rejected invoices, payment delays when customers cannot process your files, and risks around the customer’s input VAT deduction. Germany has also introduced rules on how authorities treat non-compliant invoices. Speak to your tax advisor for your exact exposure; using a compliant workflow removes the risk.

Small-amount invoices up to €250 (Kleinbetragsrechnungen) and certain tickets are exempt from the e-invoicing obligation. Invoices from Kleinunternehmer (small business regime) are also exempt from the issuing duty. Many businesses still use one process for everything, because it is simpler than maintaining two.

FreshBooks users continue to bill in the way they do today, and Advintek processes the resulting invoices. Recurring and repeat invoices follow the same automated flow of formatting, validation, submission and archiving. If you bill unusual structures (milestones, deposits), test them in the demo so the structured output reflects your invoice lines correctly.

Advintek builds the FreshBooks connector for freelancers, consultants, agencies, SaaS teams, professional-service firms and SMEs. The common need is audit-ready billing with minimal manual effort, plus central visibility of all invoices. Advintek states that it supports thousands of businesses in Germany, from SMEs to large enterprises.

Compliance does not need to decide the choice. Advintek has connectors for FreshBooks, Zoho Books, QuickBooks, Xero and MYOB, so the best tool is the one that fits your invoicing, team and budget. Advintek also publishes comparison guides, such as FreshBooks vs Zoho Books for Germany.

Advintek says it extends its e-invoicing integration to platforms beyond its standard connectors, and it also supports many ERP and e-commerce systems. If you use FreshBooks alongside another system, describe the setup in your consultation request and the team can advise on a single compliant flow.

Request a demo through the Advintek Germany site, confirm your invoice types and customer groups, and agree on formats and receiving. Then connect your FreshBooks account and run test invoices before the live date. If your prior-year turnover exceeded €800,000, aim to be live before 1 January 2027.
