Zoho Books e-Invoicing in the Germany: Frequently Asked Questions
1. What is Advintek's e-Invoice Connector for Zoho Books?
It is a fully integrated solution that connects Zoho Books to a Germany-ready e-invoicing workflow. It helps SMEs automate every step: converting Zoho Books invoices into compliant XML, submitting directly, supporting cancellations within 72 hours, tracking approvals and rejections in real time, and archiving, without changing how they work.
2. Does Zoho Books generate XRechnung or ZUGFeRD invoices on its own?
A standard Zoho Books invoice emailed as a PDF is not a structured e-invoice under German rules, which need EN 16931-compliant machine-readable data. Advintek’s connector works directly inside your Zoho Books environment and creates the compliant structured file, so you do not need to switch systems.
3. Is e-invoicing mandatory in Germany for Zoho Books users?
Yes, for domestic B2B transactions. Since 1 January 2025 all German businesses must be able to receive structured e-invoices. Issuing is mandatory from 1 January 2027 for businesses with prior-year turnover above €800,000, and from 1 January 2028 for all others.
4. When must I start issuing e-invoices from Zoho Books?
If your prior-year turnover exceeded €800,000, from 1 January 2027. If it was €800,000 or less, from 1 January 2028, and other formats remain possible in 2027. Until 31 December 2026, PDF and paper invoices are still allowed with the customer’s consent.
5. Do I need to receive e-invoices in Zoho Books too?
Yes. Receiving structured e-invoices has been mandatory since 1 January 2025. You need to accept XRechnung and ZUGFeRD files from suppliers, validate them and book them correctly, including input VAT. Mention the receiving process when you speak with Advintek.
6. Which e-invoice formats does the Zoho Books connector support?
It converts Zoho Books invoices into BZSt-compliant XML and supports bulk invoicing and recurring billing. For German B2B, the accepted formats are EN 16931-compliant: XRechnung, and ZUGFeRD from version 2.0.1 (excluding MINIMUM and BASIC-WL). Advintek can confirm the best format for each customer.
7. What is the difference between XRechnung and ZUGFeRD?
XRechnung is a pure XML invoice for automated processing and public-sector recipients. ZUGFeRD is a hybrid with a readable PDF and embedded XML. Both are valid when they follow EN 16931, and the choice depends on what your customers’ systems can read.
8. Do I have to change how my team uses Zoho Books?
No. The connector works directly inside your Zoho Books environment, with no need to switch systems or retrain staff. Your team creates invoices as usual. Advintek handles validation, submission and archiving in the background.
9. Can I send e-invoices directly from Zoho Books without manual uploads?
Yes. e-Invoices go directly from Zoho Books to the tax-compliant submission flow without manual uploads or third-party steps. This removes copy-and-paste work and reduces errors. It also means no separate portal logins are needed to issue or cancel invoices.
10. How does the Zoho Books workflow run from start to finish?
You raise the invoice in Zoho Books. The connector converts it into compliant XML, validates it and submits it. It tracks status in real time, including approvals and rejections. Advintek’s Invoice Factory stores the invoice and syncs changes between the connector and the factory to avoid duplication.
11. How does real-time syncing prevent duplicates?
Changes made in the connector or in Advintek’s Invoice Factory are synchronised instantly. This avoids duplicate records and mismatches between what was created in Zoho Books, what was submitted and what is archived, supporting accurate and audit-safe records.
12. Can I track approvals and rejections in Zoho Books?
Yes. The connector tracks invoice status in real time, including approvals, rejections and validation results. Seeing outcomes right away lets you correct and resend quickly, instead of learning about a problem when a customer queries an unpaid invoice.
13. What should I do if a Zoho Books e-invoice is rejected?
Read the reason, correct the data in Zoho Books (for example buyer reference, tax IDs or totals), and resubmit. The new status is tracked automatically. Fixing the source data prevents the same error on future invoices, and Advintek support can help interpret messages.
14. Can I cancel an e-invoice sent from Zoho Books?
Yes. You can create, issue, cancel (within 72 hours) and track e-invoices without accessing external portals manually, as described on the Zoho Books page. After 72 hours, issue a credit note and corrected invoice. Agree on the process in onboarding.
15. Does the connector support bulk invoicing and recurring billing?
Yes. It supports bulk invoicing and recurring billing, which suits subscription businesses, retainers and month-end billing runs. Each invoice flows through the same automated checks and archiving, so compliance quality stays consistent as volumes grow.
16. What kinds of businesses is the Zoho Books connector built for?
It targets Germany SMEs using Zoho Books, including service firms, agencies, trading companies and growing businesses. Advintek aims for full compliance while preserving your existing Zoho Books workflow, with no disruption or retraining.
17. How are Zoho Books e-invoices archived?
The Invoice Factory stores invoices securely in line with the audit and archival requirements, and the Zoho Books page specifies 10-year compliant archiving. That covers the generally applicable 8-year retention for invoices and the 10-year period for books and annual statements.
18. How long must invoices be kept in Germany?
Since 2025, invoices and similar accounting vouchers generally must be kept for eight years (down from ten). Books and annual financial statements remain at ten years, and some cases need longer retention. Confirm your obligations with your tax advisor.
19. Is the archive GoBD-ready?
GoBD requires complete, traceable and unalterable storage. For e-invoices, the structured XML is the original and must be kept unchanged. Advintek’s archive is built for audit readiness. Describe the Zoho Books to archive flow in your process documentation (Verfahrensdokumentation).
20. Does the connector work with DATEV or my accountant's tools?
Advintek publishes guidance on accounting and ERP integrations, including DATEV. Your Steuerberater needs invoice data for bookkeeping and VAT filings. Tell Advintek which tools your advisor uses so the right export or access route can be agreed.
21. Can Zoho Books invoices go to German public authorities?
Yes, using XRechnung. Public-sector recipients also need a Leitweg-ID to route the invoice. Supply it to Advintek during setup. For private B2B customers a Leitweg-ID is usually not required.
22. Does the Zoho Books connector support Peppol?
Advintek Germany supports XRechnung and Peppol-oriented workflows. Germany does not mandate one channel for B2B e-invoices, so email, portals and Peppol can all work if the invoice is a valid EN 16931 structured file the recipient can process. Check your key customers’ preferences in the demo.
23. Are some invoices or businesses exempt?
Invoices up to €250 and certain tickets are exempt, and Kleinunternehmer do not have to issue e-invoices (but must be able to receive them). Many Zoho Books users still apply one compliant process to every invoice for simplicity.
24. Is a PDF from Zoho Books still acceptable?
Until 31 December 2026, yes for domestic B2B with the recipient’s agreement. From 2027, businesses above €800,000 turnover must issue structured e-invoices, and from 2028 all must. After that a plain PDF is no longer a valid invoice for those businesses.
25. What about customers outside Germany?
The mandate covers domestic B2B transactions. Other countries have their own rules, which differ. Advintek runs e-invoicing in many countries, so Zoho Books users with international customers can keep one connector and add each country’s requirements as needed.
26. Is my data secure?
Advintek lists a secure, compliant platform with 99.9% uptime, weekly updates and 24/7 support. Invoices and metadata are held in a controlled archive. Review the privacy policy and request data processing terms if needed for your own compliance file.
27. How much does the Zoho Books connector cost?
Advintek advertises affordable, transparent pricing for SMEs, starting from an entry-level plan. The final price depends on invoice volume and set-up. Request a free quotation for current euro pricing and a list of what is included.
28. Is there a free demo?
Yes. Advintek offers a free demo, a free consultation and a free quotation. The Book a Demo option lets you watch a Zoho Books invoice being converted, submitted, tracked and archived before you commit.
29. How long does setup take?
Because the connector works inside your Zoho Books environment, onboarding is mostly configuration and test invoices. The timeline depends on your invoice types and customer groups. Ask for a go-live date early, particularly if you must issue e-invoices from 1 January 2027.
30. What happens if I am not compliant by the deadline?
Customers may reject unstructured invoices, payments can be delayed, and recipients can face input VAT issues. Authorities have specific rules for non-compliant invoices. Ask your tax advisor about your exposure, and test your workflow before the deadline.
31. Why not just export XML from Zoho Books manually?
Manual exports rely on staff getting formats, mandatory fields and submission right every time. Advintek automates conversion, validation, submission, status tracking and archiving, so you work only on exceptions. The result is fewer errors, less effort and a complete audit trail.
32. How does Zoho Books compare with QuickBooks, Xero, MYOB and FreshBooks for e-invoicing in Germany?
Advintek supports all five with comparable capabilities, so compliance need not decide the choice. Compare them on features, integrations, reporting and price. Advintek also publishes guides such as FreshBooks vs Zoho Books for Germany.
33. What support does Advintek offer after go-live?
Advintek provides 24/7 support and weekly updates. Support covers rejected invoices, status questions, format changes and new German requirements. As XRechnung and ZUGFeRD evolve, the connector is maintained so you do not have to follow every technical update.
34. Can Advintek integrate other tools I use with Zoho Books?
Yes. Advintek supports many accounting, ERP, e-commerce and POS systems and extends integrations beyond its standard connectors. If Zoho Books is one part of your stack, describe the setup so a single compliant process can cover it.
35. How do I get started with Zoho Books e-invoicing in Germany?
Book a demo on the Advintek Germany site, share your invoice types, volumes and customer groups, and agree on formats. Then connect Zoho Books, run test invoices and go live. If your turnover exceeded €800,000, aim to be live before 1 January 2027.
