QuickBooks e-Invoicing in the Germany: Frequently Asked Questions

1. What is Advintek's e-Invoice Connector for QuickBooks?

It is a connector that bridges QuickBooks and Advintek’s e-invoicing platform so QuickBooks users in Germany can meet the e-invoicing mandate while automating the whole invoice lifecycle. It converts invoices into compliant structured XML, submits them from your QuickBooks workflow, tracks status in real time, supports cancellations and archives everything.

A standard QuickBooks invoice, sent as a PDF, is not a structured e-invoice under German rules, which require EN 16931-compliant machine-readable data. Advintek’s connector sits on top of QuickBooks and automatically converts your invoices into the required format, so you keep using QuickBooks as before.

Yes, for domestic B2B transactions. Since 1 January 2025, all businesses in Germany must be able to receive e-invoices. Issuing becomes mandatory for businesses with prior-year turnover above €800,000 on 1 January 2027, and for all remaining businesses on 1 January 2028.

The deadline is 1 January 2027 if your prior-year turnover exceeded €800,000, and 1 January 2028 otherwise. Until the end of 2026, PDF and paper invoices remain possible with the customer’s agreement, and smaller businesses can use other formats until the end of 2027. Do not leave testing until the final weeks.

Advintek states it was the first provider to go live with a fully functional QuickBooks e-invoice integration for Germany. The connector is already operational, so you can start with a demo and a pilot now rather than waiting for the mandate dates. Ask for current customer examples during your consultation.

Yes. Receiving structured e-invoices has been mandatory for every business in Germany since 1 January 2025. You need a way to accept XRechnung and ZUGFeRD files from suppliers, validate them, and book them in QuickBooks with correct input VAT. Raise this in your consultation so the receiving side is planned too.

It automatically converts QuickBooks invoices into compliant XML and supports multiple invoice formats. For Germany, the B2B-compliant formats are XRechnung and ZUGFeRD from version 2.0.1 (excluding the MINIMUM and BASIC-WL profiles), both based on EN 16931. Advintek confirms the right profile for each customer type.

XRechnung is a pure XML format, favoured by public-sector buyers and automated processing. ZUGFeRD embeds XML in a readable PDF, useful when customers still want a visual document. Both are valid for B2B. Choose based on what your customers’ systems accept, and Advintek can support both from the same QuickBooks invoice.

No. You can generate, submit and cancel invoices directly from the Advintek system connected to QuickBooks, and you do not need to log in to a separate government portal. Users keep working in the original QuickBooks interface with the tools they already use.

You create the invoice in QuickBooks. The connector converts it into compliant XML and sends it. Advintek tracks the status and shows approvals or rejections. If you edit the invoice in the connector or in Invoice Factory, both stay in sync. Finally, the invoice and company metadata are archived securely.

Whether you update data in the connector or in Advintek’s Invoice Factory, the system keeps records synchronised. This cuts manual rework and prevents mismatches between what is in QuickBooks, what was submitted and what is archived. A consistent record is useful in tax audits and customer disputes.

Yes. The connector tracks invoice status in real time, including approvals, rejections and validation messages. You see the outcome of each submission without leaving your workflow. Prompt visibility lets you fix problems immediately instead of discovering them when a customer asks about an unpaid invoice.

Read the rejection reason shown in the connector, correct the data in QuickBooks (for example a missing buyer reference, a wrong tax ID or inconsistent totals) and resubmit. Fixing it at the source reduces repeat errors. If the reason is unclear, Advintek support is available 24/7.

Yes, the connector supports invoice cancellations within 72 hours directly from the system, according to Advintek’s service description. Outside that window, use the usual German correction route: a credit note plus a corrected invoice. Agree the process with your accounting team at onboarding.

Yes. Advintek supports recurring transactions and multiple invoice formats for QuickBooks users. Recurring invoices are converted, validated, submitted and archived in the same automated way as one-off invoices, which suits service firms and subscription businesses.

It is built for growing SMEs in services, retail, legal and many other sectors. Any QuickBooks user in Germany who issues domestic B2B invoices benefits, because the connector keeps the existing setup and adds compliance, tracking and archiving without disruption.

Advintek’s Invoice Factory securely stores all e-invoices and company metadata for 10 years, as described on the QuickBooks page. That period covers the generally applicable 8-year retention for invoices and the 10-year period for books and annual statements, so you are prepared for tax audits.

Since 2025, invoices and accounting vouchers generally must be kept for eight years (reduced from ten). Commercial books, inventories and annual financial statements still require ten years. Certain records may need longer retention. Always confirm with your tax advisor for your situation.

GoBD requires records that are complete, traceable and unchangeable. For e-invoices, the structured XML should be archived in its original form. Advintek’s Invoice Factory is designed for audit readiness. Ensure your internal process documentation (Verfahrensdokumentation) describes the QuickBooks-to-archive flow.

Advintek publishes guidance on accounting and ERP integrations, including DATEV. Tax advisors typically need invoice data for the VAT return and bookkeeping. Tell Advintek which software your Steuerberater uses so that the right data-sharing method can be defined during implementation.

Yes, but public-sector customers require XRechnung and a Leitweg-ID to route the invoice to the correct authority. Provide the Leitweg-ID to Advintek during setup so it is mapped correctly. Private B2B customers normally do not require a Leitweg-ID.

Peppol is an international network for exchanging e-invoices. Germany does not force one transmission channel for B2B; email, portals and Peppol can all be used if the invoice is a valid EN 16931 structured file and the recipient can process it. Advintek Germany supports XRechnung and Peppol-based workflows.

Invoices up to €250 and certain tickets are exempt, and Kleinunternehmer do not have to issue e-invoices (but must be able to receive them). Even so, many QuickBooks users apply one compliant process to all invoices because it is simpler and future-proof.

Until 31 December 2026, a PDF or paper invoice remains allowed for domestic B2B with the recipient’s consent. From 2027, businesses above €800,000 turnover must issue structured e-invoices, and from 2028 all businesses must. A plain PDF will then no longer count as a proper invoice.

Advintek lists a secure and compliant platform, 99.9% uptime, weekly updates and 24/7 support. All invoices and metadata are stored in a controlled archive. Review the privacy policy and request data processing terms if your company requires them.

Advintek advertises affordable, transparent SME pricing starting from an entry-level plan. The final cost depends on invoice volumes and your setup. Use the Get Started link or request a free quotation to receive the current euro pricing and inclusions such as archiving and support.

Advintek offers a free demo, free consultation and free quotation. A demo shows a QuickBooks invoice being converted, submitted, tracked and archived. The consultation helps you confirm formats, receiving and customer types before you commit.

Because the connector works inside your existing QuickBooks workflow, onboarding is mostly configuration and testing. The timeline depends on your invoice types and number of customers. Ask for a go-live date early, as the 1 January 2027 deadline is close for businesses above €800,000 turnover.

Customers may reject unstructured invoices, payments can be delayed, and there can be input VAT consequences for the recipient. Tax authorities also have rules on how non-compliant invoices are treated. Ask your tax advisor about your exact risk, and aim to test the process before the deadline.

It automates the steps that are error-prone by hand: converting data to XML, validating mandatory fields, submitting, retrieving statuses, handling cancellations and archiving. Your team spends time only on exceptions, such as a rejected invoice, instead of processing every invoice by hand.

Advintek supports all five with comparable capabilities, so compliance need not decide your choice. Select the software by features, reporting, integrations and price. Advintek also provides comparisons such as Xero vs QuickBooks Germany and MYOB vs QuickBooks Germany for those evaluating options.

Advintek works with SMEs through to larger enterprises, and the same approach can be extended to several entities. Share your structure (number of companies, QuickBooks accounts and customers) during the consultation so the setup and pricing reflect it.

Advintek publishes weekly updates and maintains the connector as formats and requirements evolve, such as new XRechnung and ZUGFeRD versions or future reporting requirements. You do not need to follow technical changes yourself, but you should still discuss major legal changes with your tax advisor.

Yes. Advintek supports numerous accounting, ERP, e-commerce and POS platforms and extends integration to systems beyond its standard connectors. If QuickBooks is one of several tools you use, describe your setup so a single compliant process can be designed.

Use the Get Started button on the QuickBooks page or request a demo from the Advintek Germany site. Share your invoice volumes and customer types, run test invoices, and go live. If your turnover exceeded €800,000 last year, aim to finish before 1 January 2027.
