Why German Companies Need Dedicated E-Invoicing Software
Germany’s e-invoicing rules apply to domestic B2B supplies and are set in Section 14 of the UStG. An e-invoice is a structured electronic file that follows EN 16931 and can be processed automatically. Spreadsheets and image-based PDFs cannot meet this definition, so businesses need software that creates, reads and stores the structured data correctly.
The rollout runs in stages. Every business has had to be able to receive e-invoices since 1 January 2025. The issuing duty starts on 1 January 2027 for businesses with 2026 turnover above, and on 1 January 2028 for all others. Transitional rules apply in the meantime. Confirm your position with the Federal Ministry of Finance (BMF) or your tax advisor.
Core Capabilities of E-Invoicing Software in Germany
Invoice Creation
Build structured invoices from order data with every mandatory UStG detail, tax rate and payment term included.
Receiving Inbox
Collect supplier e-invoices in one inbox and keep each original file as the legally relevant invoice.
Standard Checks
Test files against EN 16931 rules to catch missing fields and wrong codes before invoices leave your system.
Delivery Options
Send invoices by email or Peppol, matching the channel your customer or authority is able to receive.
Credit Notes
Issue corrections that reference the original invoice and restate tax amounts in the same structured format.
Archive Storage
Retain unaltered invoice files for eight years under the Fiscal Code, with search and export for audits.
Key Factors to Consider When Choosing E-Invoicing Software
- Does it create files that follow EN 16931, not image PDFs?
- Can it receive invoices from every German supplier format?
- Does it keep the original XML unchanged after posting?
- Are VAT rate and exemption fields validated on each line?
- Can it support XRechnung and ZUGFeRD in valid profiles?
- Does it connect to your ERP or accounting system?
- Are user roles and change logs available for audits?
Integrate E-Invoicing with ERP and Accounting Systems
E-invoicing software is most useful when it sits between your ERP and your customers. Order, delivery and billing data can then flow into structured invoices without retyping, and received invoices can flow back into posting and payment runs. This reduces manual errors and keeps tax data consistent.
Advintek supports connected invoicing for Germany. Before deployment, confirm supported formats, delivery channels, ERP connectors and implementation scope, and review the latest guidance from the BMF.
Everyday Controls for Invoice Teams
Approval Routing
Send received invoices to the right reviewer before posting, while the original structured file stays untouched.
Duplicate Detection
Flag repeated invoice numbers from the same supplier to avoid double payment and double input VAT claims.
Status Tracking
See which invoices are drafted, sent, received, paid or awaiting correction across billing and finance teams.
Access Permissions
Limit who can create, edit or release invoices and keep a history of each action for reviews.

Frequently Asked Questions
1. What does e-invoicing software do for a company in Germany?
It creates invoices as structured electronic files, checks them against EN 16931, delivers them to customers and receives supplier invoices in the same format. It also keeps the original files for tax records, so teams spend less time on retyping, correcting and searching for documents.
2. Is e-invoicing software legally required in Germany?
German law does not name a software product or make one mandatory. It requires that e-invoices be structured, follow EN 16931 and be machine-readable. Because spreadsheets and plain PDFs cannot meet that, most businesses need a tool, either their ERP or a separate platform, that can create, receive and store such files.
3. How are ZUGFeRD hybrid invoices treated under the German rules?
A ZUGFeRD invoice is a PDF with embedded XML. The XML part is the legally relevant invoice, and the PDF is only a readable view. Profiles that lack the full EN 16931 data, namely MINIMUM and BASIC-WL, do not qualify. Your software should read and store the embedded XML and keep it unaltered.
4. Can I still send e-invoices by email in Germany?
Yes. German law does not fix a transmission channel for B2B e-invoices. Email works if the attachment is a valid structured file and the recipient can process it. A PDF-only email is not an e-invoice. Peppol and other platforms are also possible, so agree on the delivery method with your customer first.
5. What checks should the software run before an e-invoice is sent?
It should validate the file structure and the EN 16931 business rules, confirm that mandatory fields such as invoice number, dates, parties and tax details are filled, and check that tax rates, exemptions and totals are consistent. Errors found before sending help avoid rejected invoices and later corrections.
6. Can I use a format other than XRechnung or ZUGFeRD?
Yes. Other structured formats are acceptable if they follow EN 16931 and the recipient agrees to receive them. XRechnung and ZUGFeRD are the most common in Germany, and public authorities generally expect XRechnung. Check which format your customer can process before you configure the software.
7. How are EDI invoices treated during the transition period?
Under the transitional rules, EDI-based invoices may continue to be issued until 31 December 2027, provided they meet the conditions set out by the BMF. After that, they must follow the e-invoice definition. Check the BMF guidance and your tax advisor before relying on this relief.
8. What must the software store to support a tax audit under GoBD?
It must keep the original structured invoice files unaltered, readable and searchable for the eight-year retention period, together with the records that explain each business transaction. The tax authority can request access to data, so exports and read-only access should be available. Books and annual accounts still follow the ten-year period.
9. Can we introduce e-invoicing software step by step?
Yes. Because every business has had to receive e-invoices since 1 January 2025, many start with a receiving inbox and storage. They then add invoice creation and validation before their issuing date: 1 January 2027 above prior-year turnover, or 1 January 2028 otherwise. Plan the stages with your tax advisor.
10. Can Advintek provide e-invoicing software for my business in Germany?
Advintek offers e-invoicing solutions for the German market. Before implementation, verify supported formats, delivery channels, ERP integrations and your invoicing volumes. Confirm your legal obligations with the Federal Ministry of Finance (BMF) or your tax advisor, as the rules are being introduced in stages.
